The email
A learner with an address on the roster — their own, or the guardian's — gets one email per release, naming the class, the grading period and you as the adviser. It carries a link, not the card itself.
Opening the link lands on a small page with the learner's name, the class and the school year, and one button: Open the report card (PDF). No account, no password. The page also shows the reference code and the date the link stops working — 30 days from when it was sent.
The PDF is watermarked with the learner's name, a masked LRN, the time and the reference, exactly as the printed card is.
Following it up
The Emailed list on Release shows one row per learner with the address it went to, the reference, and the state: emailed, delivered, opened, or bounced. A row marked "(guardian)" went to the guardian's address. "Opened 2×" means someone opened the PDF.
What if
- Bounced. The row says why — mistyped, closed, mailbox full, or marked as spam. Fix and resend opens the address field; correcting it updates the roster too and sends a fresh link. If the address bounced before, nothing was sent at all until you type it in by hand; that is the check, and your correction releases it.
- Emailed but never opened. Ask them to look in spam. Resend sends a new link and cancels the old one, so only the newest link works.
- "This link is no longer valid." It expired, the release was taken back, or a newer link replaced it. Press Resend on that learner's row; it takes one press.
- "The card is still being prepared." The render has not finished. It is worth trying again in a few minutes; nothing has to be re-encoded.
- No email at all. Use Print instead on their row to move the card into the print batch, or Email instead on a print row to add an address and send one now.
